Casting Team & Private Casting Notes

On the Casting tab, open an audition and go to Setup → Casting team to choose who can see that audition and who reads the panel's notes. Useful when someone on your production team also auditioned, like a student associate choreographer.

  • Nobody sees notes about themselves: This is always on, with nothing to set up. If someone who can see casting also auditioned, they never see the ratings, scores or comments on their own audition, anywhere in Casting: the registrant drawer, Session Day, the Casting Board, callbacks or the CSV export. Their own row shows "This is you" instead. The same goes for a parent or guardian on the panel looking at their child. Nobody can leave notes on their own audition either. CueCall recognises someone by their email address (their account's, or the one on their profile) and by their cast record once they've been cast, so ask a performer to sign up with the address they use for CueCall
  • Only the casting team can see this audition: Turn this on and only the people you add, plus the show's owner (and, on a company show, the company's owners), can see the audition. Everyone else drops it from their Casting tab, even if their role normally includes casting. Turn it off and the audition goes back to everyone whose role includes casting. Your team list is kept, so turning it on again restores it. While it's off, only the show's owner (or a company owner) or someone saved at the top level can change that list
  • Three levels: Team member sees the audition and its registrants, and can check people in, but sees no casting notes. Gives notes writes notes and sees only the notes they wrote, including in averages and on the Casting Board. Gives notes, sees all notes writes notes and reads everyone's. The show's owner (and, on a company show, the company's owners) is always at the top level
  • Who you can add: Anyone on the show whose role already includes casting (Director, Assistant Director, Music or Vocal Director, Producer, Stage Manager, Choreographer). The team narrows access, it never adds it: to put someone else on the team, give them one of those roles first
  • Who can set up the team: The show's owner, a company owner on a company show, and director-level roles (Director, Assistant Director, Music or Vocal Director, Producer), the same people who manage the show's collaborators. A Stage Manager or Choreographer can give notes but can't change the team, so nobody on the panel can lock the Director out. Once the team is on, only the owner or a director-level person at the top level can change it. Whoever turns it on is added at the top level automatically, so they can't lock themselves out
