Inviting Parents to Register Their Students

School and youth productions usually need a parent — not the performer — to do the signing up, and need a record that an adult agreed to something. The public signup link collects both. CueCall never emails people who are not in it yet, so you send that link through the channel you already use to reach families; everything after that happens inside CueCall:

  • Set the form up before you send anything: On the audition's Setup tab, fill in "Who answers questions" (publishing is blocked without it), upload your participation waiver, photo release or code of conduct as a PDF, and turn on Collect date of birth if performers may be under 18. Add any questions you need answered while you have the parent's attention — rehearsal conflicts, T-shirt size, whether they can help build. Everything here is asked once, at registration; adding a waiver later does not go back and ask the families who already signed up
  • Send the link through your own channel: Copy the public signup link from the audition and put it wherever you already reach families — the school newsletter, a district email, your parent group, a slip home in a folder. There is no bulk invite inside CueCall for people who have never registered, and that is deliberate rather than missing: a list of parent addresses typed into a theatre app is a mailing list nobody agreed to join. Your school's own list already has that permission
  • The form asks who is completing it: Every public signup asks whether the person auditioning is filling it in themselves (attesting they are 18 or older) or a parent/legal guardian is doing it on a minor's behalf. Choosing guardian makes the guardian's name and email required — a record that an adult consented is not much use without a way to reach that adult. This is asked on every audition, whether or not you turned on any other youth setting
  • What you end up holding: Each registration records when CueCall's Terms and Privacy Policy were accepted, when your waiver was acknowledged, and who provided both — the performer or a guardian. All of it appears in the registrant CSV export, which is what to reach for when an administrator asks what consent you have on file
  • Use parent addresses, not student ones: Once a guardian email is on a registration, every audition email goes to the guardian with the performer copied in — confirmations, callbacks, offers, slot changes. It is also simply more reliable: many districts configure student accounts to refuse mail from outside the district, which shows up on the Registrants tab as Bounced and leaves that student with no manage link until you fix it
  • Chasing the families who have not signed up happens in your channel too: CueCall can only message people who are already registered, so a reminder goes out the same way the first link did. What CueCall gives you is the list: the Registrants tab is who has come in, so the gap against your class list is who still needs nudging
  • Once they are in, message them in bulk: Use the message-all-registrants broadcast for "auditions moved to Thursday" or "bring sheet music". You can narrow it by status, it is addressed to guardians wherever one is on file, and it carries a one-click unsubscribe because mail providers require one on bulk sends. Anyone who unsubscribes is skipped and reported separately — and it never silences their own callback, offer or slot change
  • Importing a class list instead collects no consent, on purpose: Import roster is the right tool when your permission forms already live at school and you only need CueCall to run the audition. Students added that way carry a deliberately blank acceptance record, because the panel cannot consent on an applicant's behalf and a blank is the honest account of that. It cannot be filled in afterwards either — acceptance is stamped once, at registration, and never rewritten, so a parent opening that student's manage link later does not create one. If you want the consent captured inside CueCall, the parent has to complete the signup form in the first place
  • Under 13, the account belongs to the parent: If a cast member's date of birth shows they are under 13, their collaborator invitation can only go to the parent or guardian email on their profile — see Casting & Auditions above. Collecting the guardian's address at signup is what makes that invitation possible later without chasing anyone. Accepting that invitation also links the parent's account as the student's guardian, so their own account sees the student's tagged notes, measurements and hours — see Linking a Guardian to a Student on the People tab
