Creating Events
Create events from the Calendar page or a show's Schedule tab.
- Title: Name of the event (e.g., "Act 1 Run-Through")
- Date: When the event occurs
- Start Time: When the event begins
- End Time: When the event ends (displayed as a time range like "7:00 PM - 9:00 PM")
- All day: Tick this for something with no set time - a deadline ("Costume measurements due"), a load-in window, a day the venue is dark. The start and end fields disappear, the event shows "All day" instead of a time, and it is listed first for that day on the Schedule tab, the Calendar, the schedule PDF and in a subscribed calendar (where it lands in the all-day band). Untick it to give the event a time again
- Location: Where the event takes place (required)
- Type: Rehearsal, Performance, Fitting, Tech, Meeting, Workshop, Audition, Signup, or Off
- Description: Additional details about the event
Calling People by Group
The Cast & Crew picker groups everyone by their role on the show, so a rehearsal call reads the way it is written - "full cast", "crew only".
- Select a Group: Tick the checkbox on a group header (Cast, Stage Manager, Lighting…) to call everyone in it at once; untick it to release them all
- Custom Titles: People with a custom title (e.g., "Musician", "Dance Captain") also appear under that title, marked "custom" - so a band or a leadership huddle can be called as a unit
- Both Places Count Once: Someone with a custom title shows under their role group and their title group; ticking either selects the same person, and "all Cast" always includes them
- Mix Freely: Group select-alls and individual checkboxes combine - call all Crew plus two specific cast members
- Bulk Edit Too: The same grouped picker appears when bulk-editing multiple events
