CueCall vs. Propared: a scheduling platform, or the whole production?
Propared is a production planning and scheduling platform for live events. Its centre of gravity is the calendar: rehearsal and performance schedules, production timelines, contacts and tasks, often spanning an organisation's whole season and many events at once. It serves corporate event teams, festivals and film crews as well as theatre.
Where Propared wins
- Coordinating many events, spaces and people across a season — the hardest version of the scheduling problem, and the one a planning-first tool is built around.
- An organisation that runs several formats (theatre, festivals, corporate events) from one calendar.
- Venue-wide and organisation-wide planning, rather than one production at a time.
Where CueCall differs
- CueCall's calendar covers rehearsals, performances, tech and production meetings, conflicts and availability, call groups, recurring events and calendar subscriptions — but it is one thread of the production rather than the whole cloth.
- The unit of work is the show, with scenes inside it, not a series of independent events. A costume fitting on the calendar leads to the costume, the actor, the scene and the budget line.
- Casting, props and costume inventory, blocking, cues, budget and stage-management paperwork live in the same system as the schedule, so nothing is retyped between tools.
- Priced per show rather than per user, so the whole cast and crew can hold accounts.

Which to choose
Choose Propared if season-wide scheduling across many productions, venues or event formats is the job you are hiring software for.
Choose CueCall if you want the schedule connected to the cast, the inventory, the budget and the paperwork of one production at a time.
Some companies run both, and nothing in CueCall requires using every part of it.
What CueCall deliberately does not do
- Ticketing, box office and patron CRM. Out of scope by design; pair CueCall with a dedicated provider such as Tessitura, Spektrix or AudienceView.
- Fundraising and donor management. Donors and sponsors can be listed in a show program, but CueCall does not run campaigns, process gifts or keep donor records.
- Payroll and contracts.
- Live show calling or cue playback. CueCall documents cues; it does not fire them.
CueCall pricing
- The first two shows are free for a full year each, with every feature and unlimited users.
- Additional shows are $14.99 per year each.
- Unlimited shows: $49 per year.
- Pricing is per show, not per user — adding your entire cast, crew and creative team costs nothing extra.
- School district pricing with student login: $299 per year with five classrooms included, then $70 per classroom. This is the plan for schools that need district single sign-on and a signed data processing agreement. A classroom is a class or group of up to 35 students, with unlimited shows, and orders are paid by purchase order and invoice.
- After a show's year ends there is a 7-day grace period, then the show becomes read-only. Data is never deleted.
