Rehearsal Reports
The Rehearsal Reports section of the Reports tab is the stage manager's nightly rehearsal report — the standard document that tells every department what happened in the room and what they need to act on. CueCall assembles most of it for you from data the show already has:
- Create from a calendar event: Pick the rehearsal from the Schedule and CueCall pre-fills the date, times, location, the attendance roster (the event's called people, or everyone assigned to its scenes), the scenes worked, and a "next rehearsal" line from the following event
- Attendance with individual calls: Everyone starts as Present with the event's call time — adjust staggered calls per person ("Kim 5:00, ensemble 6:00"), mark late (with minutes), excused, or absent, and add walk-ins by name. Names are saved on the report, so it stays accurate even if someone later leaves the show
- Department notes, automatically: Notes written on the Notes tab during rehearsal are pulled into the report for that day and grouped by department with standard tracking numbers (report 12, item 3 = "12-3"). Departments cover the full production — Script, Sets, Props, Costumes, Lighting, Sound, Stage Crew, Publicity, Stage Management and more — and departments with nothing tonight are told so explicitly ("No notes tonight for: …"). The report references the notes rather than copying them — the Notes tab stays your one searchable running log per department across the whole production. Hit "Refresh day's notes" to pull in anything written since the report was created
- Timing record & rehearsal log: Called vs. actual start, end time, and breaks, plus a minute-by-minute log of the room ("7:22 ten-minute break", "7:40 started blocking I.vii") — the standard proof-of-hours record and recap in one place
- Sections for the rest: General notes, schedule changes, accidents/incidents, and next rehearsal info
- Publish & email the production team: Publishing marks the report as the day's distributed record and (optionally) emails the full report — rehearsal log and department notes included — to everyone on the show whose role can view reports: leadership, designers, and crew heads. Replies go straight to the stage manager who wrote it. Cast members are never emailed and never see reports
- PDF download: Every report exports as a formatted PDF for the callboard or your archive
- Automate it entirely: Click Automation on the Reports tab and CueCall drafts the report for you within the hour after each rehearsal ends — same pre-fill, no clicking. Choose which calendar event types count (rehearsals only by default), and optionally let it publish and email the report automatically. That last switch is off by default on purpose: with it on, the day's department notes go to the whole production team without anyone reading them first, so most stage managers leave it off and review each draft. A report you already wrote by hand is never duplicated, and turning automation on never touches past rehearsals
Reports include attendance and tardiness records, so they're visible only to the production team — Director-level roles, Stage Managers, and Choreographers can create and edit them; designers and crew heads can read them; cast, parents, and volunteers never see them.
