What students can reach without logging in
Every student can have a page of their own that needs no account — their cast page — plus a set of other things you hand out as a link. All of them open on any phone, with no account and no password.
- Their cast page: Switch on Cast pages in the production's ⋯ menu → Features and every Cast and Student on the roster gets a private, read-only link showing their character, their scenes, the upcoming schedule with their own calls highlighted, announcements and their costume pieces. You can also add the cast list (younger performers listed by first name only) and the notes that tag them — both off by default. There is no login behind it and nothing to fill in, so nothing is collected from the student. Send the links from People → Cast pages. A minor's link goes to the guardian email on their profile when there is one, and the parent decides whether to hand it on; with no guardian email, a student under 13 has nowhere to be sent (the row says so), while a 13–17-year-old's link goes to their own email. Add guardian emails first if you want every family to receive it. Export gives you every link in a spreadsheet if you would rather print them or mail-merge them. - Slideshows: Open any slideshow — costume looks, a vision board, scene renders — and use its Share control to copy a public link. This is the one to start with for "here is what you are wearing" and "here is what the set looks like"
- The rehearsal calendar: The Calendar page or the production's Schedule tab generates a subscribe link. It drops into Google or Apple Calendar and updates itself when you move a call
- Audition materials: Sides, sheet music, accompaniment tracks, a dance-call video. Each file is either Anyone with the link or Registrants only
- Their own audition page: The manage link in their confirmation email — their time slot, their uploads, their answers, and whatever you posted for registrants
- Measurement forms and signup sheets: Both are links; each student fills in only their own measurements, and no account is needed to take a volunteer shift
- The program page: Cast list and performance dates, if you publish one
- What still needs a login: Files (scripts, scores), the full Notes list, cue sheets, run sheets and the scene breakdown. Those are the production's working documents, and none of them ever appears on a cast page
- The practical version: Turn on cast pages and send them to families at the start of rehearsals — that is each student's own schedule, scenes and costume in one place. For the room as a whole, put the slideshow link and the calendar subscribe link on a QR code inside the callboard. Do not post a cast page link on the callboard: each one belongs to one student
