When an administrator asks
- "What consent do you hold?" The registrant CSV export. It carries, per student, when the terms and privacy policy were accepted, when your waiver was acknowledged, and whether the performer or a guardian did the accepting — for everyone who registered through the public form. Students you imported yourself are covered by whatever your school already holds
- "Is this a school system?" No, and it is worth being precise. CueCall runs on direct parental consent: families enrol their own children. It does not operate the pathway that lets a school consent on parents' behalf, so the guardian-held account applies to school productions exactly as it does to a community theatre. Practically, build your roster from parent signups rather than exporting a class list from a district system
- "What about student records?" Where CueCall is used by a school, student information may be an education record under FERPA. Student data is used solely for the educational purposes the school specifies, is not disclosed to third parties except as the school directs, and the school can request deletion at any time. A Data Protection Agreement is available from privacy@cuecall.app — worth asking for before a district asks you
- "Do you market to our students?" Not from your roster: the cast and crew records in a production are never a mailing list, and nobody is emailed by CueCall because a teacher typed their name in. The other half needs saying plainly, though — a student aged 13 or over who holds their own CueCall account is an account holder, and account holders receive occasional CueCall product announcements, plus up to two setup reminders if they start a production of their own. They can switch those off in their own Settings, and a student whose parent holds the account never receives them at all. If your district needs no student to receive them, have parents hold the accounts
- "What does a student's cast page collect?" Nothing. It is read-only, with no account, no form and nothing the student can type, post or send. It records no analytics and no record of when or how often it was opened. It never shows anyone's email, phone, address, date of birth, measurements, documents or photos, and a minor's link goes to the guardian email on file whenever there is one — a student under 13 is never sent their own. The export lists the address each link would be sent to, so you can check before sending. Leadership can revoke any link, and switching cast pages off closes every page at once
- What gets deleted, and when: Details of students who auditioned but were not cast — including guardian and emergency contacts, headshots and uploads — are purged automatically 120 days after the audition ends. A registration somebody cancels themselves is purged after 30 days. Students you cast become production records and are kept, because that is your show's paperwork
- Age is treated as contact-level information: a student's birthdate, age and guardian status are visible to production leadership and never to other students. They never appear in CueCall's own usage analytics either
