Bulk Import (Folder or Zip)
Have a whole folder of production materials — scripts, rehearsal audio, choreography videos, publicity templates? Click "Bulk Import" on the Files tab to bring it all into the current show, or use "New from Files" on the Shows page (also reachable from inside the New Production dialog) to create a brand-new show from the folder (the title is prefilled from the folder name, and the show is only created when you start the import).
- Drag and drop a folder (or zip file), or use "Select Folder" / "Select Zip File"
- CueCall analyzes every file name and recommends where it belongs: audio becomes songs and song tracks, documents and media get file categories, and junk files (like Thumbs.db) are skipped
- Review the plan — change any file's destination, song match, or track type, and include or exclude individual files
- Click "Import" to upload everything and place it automatically
- Click "Continue in Background" (or just close the window) to keep working — the import keeps running and a status card tracks its progress
- Which workspace: When "New from Files" creates the show and you belong to an organization, the review step has an Organization picker that defaults to the workspace you're currently in — so a folder imported inside your company becomes a company show
- Song matching: Audio files are matched to your existing songs by title; unmatched numbered audio (like "07 - Song Title.mp3") creates new songs in show order
- Track versions: Multiple versions of the same song (guide vocals, performance tracks) are grouped — one becomes the song's primary audio, the rest become tracks. Versions are only ever grouped when they share the same track number; files numbered differently are always kept separate. Within one number, small title differences are tolerated, so "01 Fathoms Below" and "01 Fathoms Below (Full Company)" become one song rather than two, named after the plainer title. Two genuinely different songs that share both a number and a similar title — a kit that restarts numbering each act, where both acts open with a same-named track — may be grouped together, so it's worth a glance in the preview
- Duplicates: Files that already exist in the show (same name and size) are skipped automatically
- Alternate formats: When the same document ships as both .pdf and .doc, the PDF is kept and the twin is skipped by default
- Vision Board: Images from a folder named "Vision Board", "Inspiration", or "Mood Board" are filed under the Vision Board category and added to the show's Vision Board automatically. Every other image imports with the Vision Board box unticked — tick it on any image row before importing (or from the Files tab afterwards) to add it
- AI assist: Files the naming rules can't place are classified by AI from their filenames (when a Gemini API key is configured) — file contents are never sent
- Characters: Character names found in casting filenames (like "Audition Sides - Ariel, Sebastian.pdf") are suggested as checkboxes and created with the import if you confirm them
- Choreography linking: Dance videos filed under a per-song folder (like "Choreography/Under the Sea/Under the Sea.mov") are linked to that song — imported or existing — and appear under "Related Files" on the song in the Sound & Music tab. Descriptive suffixes like "Commentary" are ignored when matching
- Rehearsal schedules: After the import, any calendar-like documents — including.ics calendar exports — are offered to Schedule Smart Import so you can turn them into schedule events. Spreadsheets, Word documents and calendar exports are read directly, so these are offered whether or not the production has AI Assistance switched on; only PDF schedules need AI to read, and those are left out when it's off
- Build from documents: When the import includes a script or director's guide, the final step offers to generate scenes and characters from those documents with AI — they arrive preselected, and you review every suggestion before anything is created
- Runs in the background: Big imports don't block you — close the import window and keep using CueCall. A status card in the corner shows live progress and lets you cancel, retry failed files, or jump to the show's Files tab
- Notifications: When the import finishes you get an in-app notification and an email summarizing how many files imported and how many failed
- Progress: A live counter shows files being read from the folder or archive, and the import bar tracks bytes uploaded (with speed and time remaining) so a large video never looks stalled
- Large collections: Folder drop supports any size; each individual file can be up to 1.5GB — enough for full rehearsal videos. Files inside a dropped zip are limited to 500MB each, because your browser has to unpack them in memory first; unzip the archive and drop the folder to get the full 1.5GB. Files over the limit don't stop the import — they show up in the review step as skipped rows (with the reason) while everything else imports normally. If an import is interrupted, already-imported files are kept and failed files can be retried. Keep the browser tab open while it runs (files upload from your device) — the browser warns you before closing the tab mid-import
- Unfinished imports: If the tab closes mid-import, the Shows page shows an "Unfinished import" prompt on your next visit. Open the production and drop the same folder to finish it (already-imported files are skipped), or discard the import — which also deletes the production when the import is what created it
