Fundraising (GiveButter)

Fundraising tracks what each participant raises on GiveButter, and can optionally credit a share of a member's sponsorships to their account — automatically, within the hour. GiveButter keeps the public campaign, the payments, the receipts and the refunds; CueCall owns the participant mapping, the credit rule and the ledger. Turn it on under Organization → Features (owners and admins only). Fundraising is standalone — you do not need Company Membership to run one. You only need Membership if you want funds splitting (crediting a share to a member's account), because a credit needs a member account to land on.

  • Connecting GiveButter: open Fundraising settings — linked from the top of the Fundraising page, and from the Features card — and paste an API key from GiveButter → Settings → Developers → API Keys. The key is stored encrypted and never shown again; CueCall tests it as soon as you save and shows the connection status.
  • Fundraising defaults: on the same settings page, set whether new fundraisers start with funds splitting on and the default participant credit percent. Each fundraiser can still override these.
  • Finding it again: Fundraising appears in the sidebar under Company Members while a campaign is live — a draft does not put it there, since a draft is still setup. Reach it from Organization → Features at any time. On the Fundraising page live campaigns are listed first, above drafts and closed ones.
  • Creating a fundraiser: pick one of your GiveButter campaigns from the list. Turn funds splitting on or off — when on, choose which membership program the credits land on, the participant credit percent (default 50%) and an optional per-participant cap; when off, sponsorships are tracked but credit no one. A fundraiser starts as a draft Go live to begin syncing. Use Settings on a fundraiser to change splitting, the percent or the cap later.
  • “Go live” does not publish your GiveButter campaign: it starts CueCall’s side — syncing gifts, matching participants and crediting members. Publishing the campaign so people can donate is a separate step in GiveButter itself (open the campaign there and press Publish); CueCall can read your campaigns but cannot change them. If the campaign is still unpublished, the fundraiser card says so and the list marks it campaign unpublished — that is the usual reason a live fundraiser sits at $0 with no participants. CueCall checks the campaign’s status on each sync, so press Sync now after publishing to clear the warning.
  • Reading a fundraiser: open one and the summary tiles lead — raised (net of refunds), credited to members with how many creditable gifts have credited, gifts matched and unmatched, how many gifts need attention, and the average raised per participant (over matched gifts only — an unmatched gift is nobody's). The participants table shows each participant's email, how many gifts they have, and when the last one arrived, and can be searched by name or email. The sponsorship list below can be searched by sponsor name, email or GiveButter transaction ID, narrowed by status (succeeded, partially refunded, refunded), by match (matched, unmatched, or only gifts needing attention), and to a date range. Each gift shows its GiveButter transaction ID and, when it credited a member, when the credit was written and the Stripe balance transaction it was mirrored to — or that it is still waiting to reach Stripe. A Needs attention badge marks three things: a refunded gift whose credit has not been reversed yet (sync again), a gift from a member participant that credited nothing on a splitting fundraiser with no cap — which is also what a gift that arrived while splitting was off looks like — and a credit that is on the member's CueCall statement but has not reached their Stripe balance yet (the nightly drain retries it). A credit that differs from today's percent is not flagged: gifts are credited by the rule in force when they arrived, and changing the percent later never rewrites the ledger. A roster person or external participant is never credited, so their gifts are never flagged.
  • Participants: a participant can be a company member (eligible for splitting), a roster person, or just a name for an external helper. The sync also records campaign members who match none of your people as participants automatically. Use Add participant to add one by hand, and Assign on an unmatched sponsorship to link it to someone.
  • Matching to members: the sync matches campaign members to your company members by email address. A previously-unmatched participant is promoted to a member automatically once their email is on your roster — re-sync afterwards to credit their later sponsorships.
  • The credit rule: with splitting on, each sponsorship credits a member participant the configured percent of the gift, rounded down, up to the cap. A sponsorship for a non-member (a roster person, an external name, or nobody in particular) is recorded and counts toward the raised total but credits no one. Credits and refunds appear on the member's statement like any other account entry, and the family is emailed the amount and the new balance.
  • Changing splitting later is future-only: turning splitting off (or changing the percent) never rewrites credits already applied — it only affects sponsorships recorded afterwards.
  • Refunds: if a sponsorship is refunded on GiveButter, the next sync reverses the matching share of the credit (proportionally, for a partial refund). A member's balance can go negative if the money was already spent, and the members list flags it.
  • Manual gifts: record a cash or check gift against a member with Record gift — it is credited immediately (when splitting is on), and (optionally) pushed to GiveButter so your campaign totals stay complete.
  • Syncing: live fundraisers sync automatically every hour, and you can Sync now from the page any time. Each sponsorship is credited exactly once, however many times the sync runs.
  • Live updates: with live updates on, GiveButter tells CueCall about a gift as it happens, so it appears in seconds rather than waiting for the hourly sync. It is turned on for you when you connect your API key, and again when a fundraiser goes live. The Live updates panel on the Fundraising settings page shows whether it is on, with Turn on live updates (or Re-register) if it is not — use that if gifts only ever appear after the hourly sync or after pressing Sync. Turning it off is safe: gifts still arrive on the hourly sync, just not immediately.
  • If you change the campaign link on GiveButter: editing a campaign's custom link changes its web address, and CueCall's Campaign link keeps pointing at the old one until it next syncs. Nothing else is affected — gifts, credits and participants are tracked by the campaign's ID, which does not change. Wait for the hourly sync or press Sync now, and the link is updated (the sync tells you when it has been). If it still looks wrong, open Settings on the fundraiser and set Campaign link by hand — paste the full address, starting with https://. A later sync will replace it if GiveButter reports a different one.
