Adding People
People are stored in a central directory. You can then assign them to shows. When assigned to a show, they can have show-specific roles.
- Name: Full name of the person
- Role Type: Director, Stage Manager, Cast, Crew, Designer, Choreographer, Music Director, Technician (this is their default role type)
- Character/Role: For cast, the characters they play — pick as many as they cover, and an actor doubling three parts holds all three; for crew, their position (this is their default role)
- Custom Title: For non-Cast people, a free-text title ("Musician", "Writer", "Assistant SM") shown to the team in place of the role type. People sharing a title can be called as a group on the schedule. Permissions always come from the role type, never the title
- Also on this show as: Optional extra positions the same person holds on this same show — a director who's also cast, a stage manager who also runs sound. Open Edit Role on their card to add them. They're purely for the Contact Sheet, which lists the person under every position they hold; permissions still come only from Role Type above
- Contact Info: Email and phone (optional)
- Photo: Upload a headshot or paste a URL
Note: The same person can have different roles in different shows. For example, someone could be a "Producer" in one show and "Cast" (playing a character) in another.
If their email is already in CueCall
- They're already on your list: Adding them again reuses the person you already have rather than duplicating them.
- They have an account and are already in one of your productions: If you run a show they're cast or crewed on, CueCall recognises the address and uses their existing profile instead of creating a second copy — you'll see a note saying so. The role, character, or job title you chose applies to this production; their own name and contact details stay theirs to edit.
- They have an account you're not connected to: The form doesn't say so, and it never shows you anything from their profile — it adds them as a new person on your list, the same as any address it doesn't recognise. Adding that person to a show (or inviting the address from Production Team) emails them an invitation to join it; their own profile replaces the placeholder on your cast list only once they accept, and nothing of theirs is visible to the production before that.
- Why it works this way: One email means one person across CueCall, which is what lets someone log in and find every show and organization they've been added to. But an email address alone isn't permission to see someone's profile, so a stranger is added by invitation, which tells them, rather than by looking them up.
