Archiving and Deleting People
Clean up your People directory by archiving or deleting people who are no longer active.
Archiving People:
- How to Archive: Open a person's profile page and click the menu button (three dots), then select "Archive Person"
- What it Does: Archived people are hidden from the main People list but remain in the system
- View Archived: Click the "Archived" tab on the People page to see all archived people
- Restore: Open an archived person's profile and select "Unarchive Person" to restore them to the active list
- Use Case: Archive people who are no longer with your organization but may return (alumni, seasonal volunteers, etc.)
Deleting People:
- How to Delete: Open a person's profile page, click the menu button (three dots), then select "Delete Person"
- Confirmation Required: You'll be asked to confirm the deletion before proceeding
- Permanent Action: Deleted people are removed from view but not completely erased from the database
- Best Practice: Archive first, then delete only if you're certain you won't need the record
- Assignments Preserved: Past show assignments and history are maintained even after deletion
Note: You should archive people before deleting them. Archiving is reversible, while deletion is permanent.
