Tasks & Delegation
Production to-dos assigned to one or several people, delegated down, and tracked on each person's dashboard.
What it helps with
- The build list that lives on a whiteboard nobody photographs
- Delegating without losing track of what you handed off
- Turning a note into an assigned job
How Tasks & Delegation works
- Tasks: Task Overview — Tasks help you track to-do items for your production. Each task has:
- Tasks: Global Tasks Page — Access all your tasks across all shows from the Tasks link in the main navigation.
- Tasks: Creating Tasks — Create tasks from the Tasks tab in any show, or from the global Tasks page using the "New Task" button.
- Tasks: Linking Tasks to Inventory Items — Tasks can be linked to inventory items to track work on specific props, costumes, or equipment.
- Tasks: Creating Tasks From Inventory — Work on props, costumes and set pieces is usually item-led — you are looking at the item when you decide who builds it. You can start a task from inventory instead of going to the Tasks page first.
- Tasks: Assigning Tasks to Songs — Tasks can be linked to a song so musical work is tracked next to the number it belongs to.
- Tasks: Assigning to Multiple People — Tasks can be assigned to multiple people for collaborative work.
- Tasks: Delegating Tasks — Reassign tasks to different team members as needed.
- Tasks: Task Status & Priority — Track task progress with status and priority levels.
- Tasks: Filtering Tasks — Use filters to find the tasks you need.
- Tasks: Dashboard Tasks Widget — The Outstanding Tasks widget on your dashboard shows your top 5 pending tasks.
More in Production Planning
- Scene Breakdown & Readiness — Scenes are the hub that links people, inventory, notes and files, with a readiness status tracked per discipline.
- Production Calendar — A rehearsal and performance calendar with recurring events, scene links and subscription feeds the team can add to their own calendars.
- Department-Tagged Notes — Notes tagged by department and attached to scenes, people, files or inventory, searchable across the whole show.
- Rehearsal Reports — Rehearsal reports drafted automatically from the day's notes and timeline, reviewed by the stage manager, then published and emailed to the team.
- Budgets & Expenses — Budget lines and recorded expenses with receipts, where who can see or spend against the budget is granted person by person.
- Stage Blocking & Scene Visuals — Blocking recorded against a scene alongside backdrop images and reference videos.
