Duplicating & Exporting Shows
Create copies of shows or export them to share with others. Useful for running the same show with multiple classes or sharing show templates.
- Duplicate Show: From the Show Detail page, click the menu (three dots) and select "Duplicate Show". You'll set a new title and dates for the copy.
- What gets duplicated: All scenes, characters, character assignments, songs (including audio/sheet music files), blocking entries, set pieces (with their per-entry placements), costume plots, tech cues (with their timing, mic groups, and the media each one plays), the Export for QLab settings, show image, and production files are always copied. Notes, tasks, budget, and inventory are included by default but can be unchecked.
- Optional: Cast & Crew: By default, cast/people assignments are NOT copied so you can assign a fresh cast. Check "Include Cast & Crew" to copy people, their show/scene assignments, hair/makeup looks and assignments, and character casting notes.
- Optional: Inventory: When "Include Inventory" is checked, all inventory items (props, costumes, sets), their scene/character assignments, photos, and mic plot assignments are copied.
- Optional: Calendar Events: By default, calendar events are NOT copied. Check "Include Calendar Events" if you want to copy rehearsal schedules and other events.
- Export Show: Click "Export Show" from the menu to download your show data. Choose which optional data to include (Cast & Crew, Calendar Events, Notes, Tasks, Budget, Inventory). Check "Production Files" to download a ZIP archive containing all uploaded files organized by category. Exports include all show structure, songs with audio/sheet music files, and when applicable: mic plot, hair/makeup looks, character notes, and all production files.
- Import Show: On the Shows page, click "Import" to upload a previously exported show file (.json or .zip). ZIP exports include production files and will fully restore them during import, including linking songs to their audio files, restoring sheet music pages, and rebuilding mic plot assignments. If you belong to an organization, the dialog has an Organization picker that defaults to the workspace you're currently in, so an import started inside your company becomes a company show. Duplicating a company show keeps the copy in the company.
- Use case - Multiple Classes: If you're teaching the same show to multiple classes, create the show once with all scenes and characters, then duplicate it for each class without including cast so each class can have its own cast assignments.
