Running a district's classrooms and roster
A school district runs its CueCall account from one organization, its District Organization. Its owners and admins open the District tab on that organization's page to give schools classrooms, set up school organizations and assign the district's roster to them. CueCall names the District Organization when the district signs up; ask support if yours is not set.
- Classrooms: Each school organization shows how many classrooms it holds and how many students are on its productions. Change the number and press Save. Purchased, Assigned and Needed show where the district stands; Needed is the larger of what a school holds and what its student count calls for (35 per classroom).
- Going past what you bought is allowed: A district under contract is never stopped from adding a class. The new classroom works right away, the change is recorded, and CueCall is told so the extra classrooms can be invoiced at $70 each on your purchase order. Nothing is turned off while that invoice is on its way.
- Schools: Create a school organization from the District tab (you become its owner, and invite its teacher from that organization's Team tab), or link one you already run. CueCall can link any existing organization. A school holding classrooms can't be removed until its classrooms are set to 0.
- A school that was on CueCall first: A teacher who set up an organization before the district joined asks from that organization's Profile tab: under School district, choose the district and press Ask to join. The District Organization's owners and admins are emailed, and the request appears at the top of the District tab under Schools asking to join Approve makes it a school of the district; its productions and members stay as they are. Each organization can have one request waiting at a time, and its owners and admins can withdraw it.
- Roster: Assign each school in your district's roster (Clever or OneRoster) to a school organization, and everyone at that school belongs to it. Assign one person on their own to override their school, for a student who takes drama at another campus. The nightly roster sync keeps every assignment.
- Teachers add students to shows: A school organization's owners and admins see its people on the School roster tab, and add its students to a show from the show's People tab with Add from school roster. They don't need to sign in through the district, so a teacher who signed up with a personal email can still run the class. Students get an invitation they accept the next time they sign in through their school; nobody is emailed. A student already on the show under the same name (one the teacher typed in before the roster was connected) is invited as that person rather than added a second time; when two people on the show share a name, or two students on the school's roster do, CueCall adds the student separately so you can merge the right pair yourself.
- Recent changes: Every change to a school's classrooms is listed with who made it and when, so the district and CueCall can see how usage grew.
