Rehearsal Plan (AI auto-scheduling)
Open the show's Schedule tab and switch to Rehearsal Plan at the top. Tell CueCall which days you rehearse, when tech week starts and when you open. It works backward from opening night and proposes which scenes and songs get rehearsed at which call. Everyone on the show can see the plan; changing it needs show edit rights (Director-level roles and Stage Managers).
- Set up your calendar first: rehearsal weekdays and call times, first rehearsal, tech start, opening night, days you cannot rehearse, and a break allowance that comes off every call. You will see how many calls and how many working hours that produces before you generate anything.
- Propose a schedule: the AI decides what work the show needs — block this scene, teach that number, run Act 1 — and roughly how long each piece takes. Placing that work into your actual calls is done by CueCall, not the AI, so it is instant, free, and gives the same answer every time.
- Four phases: Learn & block, Polish & clean, Run-throughs, and Tech week. Work is only ever scheduled in its own phase or a later one — nothing slides earlier than the cast could sensibly do it.
- Adjust anything: tick items off, move them between calls, remove them, or place work that did not fit. Nothing is dropped silently — anything that will not fit before opening is listed with the reason.
- A proposal is a draft — nothing is scheduled until you approve it. A freshly proposed schedule changes nothing outside this page, and the banner at the top of it says so. Approving is what puts the calls on the calendar.
- Approve: each call becomes a Rehearsal event on the show calendar with its running order in the description. Events you created by hand are never touched by this — only the ones the plan created. Once approved, the banner tells you how many calls are on the calendar and links straight to them. If you chose "Approve without the calendar", it says that instead and offers to add them whenever you are ready.
- Proposing again over an approved schedule: the calls from the earlier approval stay on the calendar until you approve the new draft with the calendar — everyone on the show keeps seeing the schedule they already have, and the draft banner says so. If you approve the new draft "without the calendar", the banner tells you the calendar does not match this schedule; "Add the calls to the calendar" replaces those events with the new ones. The banner only reads "On the calendar" when every call in the plan is there exactly as the plan now describes it.
- Ran behind? Re-flow: say what actually got covered and everything outstanding moves forward into the calls you have left, with the calendar updated to match. Re-flowing costs nothing and can be done as often as you like.
- Cutting something: mark it "Cut it" during a re-flow and it will not be rescheduled, but the call it was on keeps the record that it was dropped.
Generating a proposal uses AI credits. Everything else on this page — previewing the calendar, adjusting, approving, re-flowing — does not.
