Turning Features On & Off for a Show
Not every production tracks a budget, runs auditions or approves hours. Production leads can switch the features a show doesn't use off, so nobody on the company has to wonder what an empty menu item is for.
- Where to find it: Open the show, click the button beside the show title, and choose Features. Everything is on when a show is created.
- Set it up when you create the show: The Create Production dialog has a Features section. Open it to switch things off up front, or skip it and leave everything on — you can change it at any time.
- Who can change it: Owners, Directors, Assistant Directors, Vocal and Music Directors, Producers, and company owners/admins — the same people who manage collaborators. A Stage Manager can edit show details but not the feature list.
- It applies to everyone, including you: A feature that is off is hidden from the menu for the whole company, and its pages and downloads stop working, so the show's menu really is the show's shape.
- It goes away everywhere, not just the menu: A switched-off feature also disappears from the places it shows up alongside other work — the tabs on a scene (Sound & Music, Props, Sets, Costumes, Tech Cues) and the matching sections of your dashboard. You won't find a Sound & Music tab on a scene in a show that isn't tracking songs.
- AI Assistance is a switch too: Unlike the others it isn't a menu item, so turning it off doesn't hide a tab — it removes the Generate with AI buttons wherever they appear (scenes, characters, inventory, images, cue sheets and the rehearsal plan), and the app refuses those requests rather than just hiding the button. Two places keep working with less rather than closing: the mic plot still generates, you just can't describe the constraints in words; and Smart Import still reads Excel, Word and calendar files, since only PDFs need AI to read. Use it when a production's designs are settled and you'd rather nobody regenerate them. Anything already generated stays exactly as it is.
- Cast pages are the one that starts off: Below the feature list is a separate Cast pages block. Unlike everything above it, it is off for every show until you turn it on, because it sends private, read-only pages to your cast's families. Turning it on also lets you choose what the pages show. - Nothing is deleted: Switch a feature back on and its budget lines, notes, files and hours are exactly where you left them.
- Always available: Overview, Scenes and People are the spine of a production and can't be switched off.
- A person's own page is not a production: Someone who works on three shows has one profile, and their measurements, documents, costume pieces and hours belong to all three. Those tabs stay where they are whichever show you opened the person from — what each production controls is who may see them.
- Not the same as Customize menu: Customize menu is personal — it hides items for you only. Features is the production's configuration and applies to everyone.
