Schedule Tab
The Schedule tab (formerly "Calendar") shows events specific to this show. Everyone on the show can view it; adding or editing events requires show edit rights (Director-level roles and Stage Managers). It has two surfaces, switched at the top of the tab: Events (the list and calendar views below) and Rehearsal Plan (the AI auto-scheduler, described in its own section).
- Event Types: Rehearsal, Performance, Fitting, Tech, Meeting, Workshop, Audition, Signup, Off — or type your own in the Event Type field for anything else (a load-in, a strike, a photo call). Off marks a day with no call during a run of rehearsals or tech/production week, so cast and crew can tell "no call today" from a missed notification.
- Recurring Events: Create weekly rehearsals or other recurring events. Set the frequency (daily, weekly, monthly) and number of occurrences.
- Scene Linking: Link events to specific scenes so cast can filter to see only events for their scenes.
- My Scenes Only: Toggle this filter to show only events for scenes you're assigned to.
- Views: Switch between List and Calendar views of the events. In Calendar view, the arrows beside the month step through months and Today jumps back to the current one.
- Print it: "Export PDF" here, or the Schedule card on the Reports tab, produces the printable schedule. Pick List view for every event day by day with locations, scenes and notes, or Calendar view for a month grid per page (one page for each month that has events) to pin on the callboard. A busy day in the calendar shows as many events as fit and a "+N more" line; the list view carries every detail.
- Smart Import: Upload schedule documents (Excel, Apple Numbers, Word, or PDF) to automatically create events. The system will parse dates, times, and activities, match them to your show's scenes and characters, and detect recurring patterns.
- Import from Google Calendar (or Outlook / Apple Calendar): In Google Calendar, go to Settings → Import & export → Export, unzip the download, then drop the.ics file into Smart Import. Event titles are matched to your scenes and songs, attendees are matched to your cast list, and repeating events are expanded into individual dates. You review and pick which events to bring in before anything is created.
- Period Mappings: Configure custom time periods (like school periods) that map to specific times. For example, "Period 1" can be mapped to "9:35 AM - 10:15 AM". These are used during Smart Import to convert period references to actual times.
