Getting Started: Three Ways to Build Your Inventory
Never inventoried before? When your inventory is empty, CueCall shows three quick ways to get items in. Every item is organized into CueCall's standard categories so it's ready to share or list on the Rental Marketplace.
- Snap a photo (AI): Click Scan Photo (or "Snap a photo" on the empty screen) and take or upload a picture. AI detects every item in the shot — photograph a whole rack of costumes or a shelf of props and it drafts a row for each one. Review the table, edit names/categories/quantities, deselect or remove anything, set a shared storage location and ownership, then add them all at once. The photo is attached to each created item automatically.
- Upload a spreadsheet: Already have a list? Download the Excel template from Bulk Actions → Download Template, fill it in, and upload it to add many items at once.
- Add manually: Enter a single item yourself with full control over every field.
AI photo analysis is a premium feature (or available with your own Gemini API key in Settings). You can always fall back to manual entry if AI is unavailable.
More in Managing Inventory
- Managing Inventory: Costumes, Props, Sets and Tech Menus — A show's sidebar gives each department its own door onto the show inventory: Costumes, Props, Sets and Tech. They are views of the same items — assigning a costume to the show on any of them puts it…
- Managing Inventory: Inventory Categories — Costume: Clothing, wigs, accessories worn by actors
- Managing Inventory: Card View & Table View — The buttons at the right of the search and filter row switch how your inventory is displayed. Your choice is remembered the next time you open Inventory.
- Managing Inventory: Adding Inventory Items — Items are stored centrally and can be assigned to multiple shows.
- Managing Inventory: Importing Inventory (Bulk & Smart Import) — Already have your inventory in a spreadsheet? Import it all at once from the Bulk Actions menu instead of adding items one by one. Excel (.xlsx, .xls), CSV (.csv), and Apple Numbers (.numbers) files…
- Managing Inventory: Ownership Status — Track whether items are owned, rented, or borrowed.
- Managing Inventory: Item Status (where a piece is in its life) — Status is a separate field from Ownership: ownership says whose the item is, status says where it is right now. Set it when adding or editing an item, and filter the inventory list by it.
- Managing Inventory: Assigning to Shows, Scenes & Characters — Assign inventory items to specific shows, scenes, and characters.
- Managing Inventory: Editing Inventory Items — Edit inventory items directly from the Inventory Detail page or your show's department tabs (Costumes, Props, Sets, Tech).
- Managing Inventory: AI Image Generator — Generate theatrical rendering images using AI for Costume, Prop, Set, and Projection items.
- Managing Inventory: Inventory Notes — Add notes to inventory items to communicate about designs, fittings, repairs, and more.
- Managing Inventory: QR Codes for Inventory — Generate and print QR codes for inventory items to enable quick access via smartphone.
- Managing Inventory: Projections — Projections are digital images designed to be projected onto a stage backdrop, cyclorama, or screen. They are managed as inventory items linked to specific scenes.
- Managing Inventory: Bulk Delete & Remove — Manage multiple inventory items at once using bulk actions. The behavior differs between your library inventory and show-level inventory.
- Managing Inventory: Fitting Photos — Photograph actors wearing their costumes at fittings and dress rehearsals. Each photo is filed on the actor and on every costume piece in frame, so you can find it from either side — and turn the set…
