Importing Inventory (Bulk & Smart Import)

Already have your inventory in a spreadsheet? Import it all at once from the Bulk Actions menu instead of adding items one by one. Excel (.xlsx, .xls), CSV (.csv), and Apple Numbers (.numbers) files are all supported.

Two ways to import:

  • Bulk Upload (template): Download the CueCall template, fill in your items, and upload. Columns include Name, Category, Status, Location, Description, Ownership Type, Size, Condition, Quantity, Rental Price, and Purchase Cost.
  • Smart Import (your own spreadsheet): Upload a spreadsheet in any column layout — no template required. CueCall automatically matches your columns to inventory fields, and an "Auto-map with AI" button can map anything it doesn't recognize. You always get to review and adjust the column mapping (and pick which rows to import) before anything is created.

Rental price for the marketplace: Include a rental price (or "rate"/"price per day") column and it's captured during import, so your items are ready to list for rental on the marketplace afterward. Listing happens per item once the inventory is loaded.

Quantity: A "Quantity" column (or "Qty", "Count", "Stock", "Amount", "Number of Items") is imported as the number of units you own, up to 10,000 per item. Items stocked in multiples show a Qty label on their inventory card, in your show's department tabs, and on the item page — items with a single unit don't, to keep the cards clean.

Imported items land in your central inventory and aren't on any show yet. You can still open and edit any of them — you own them — and assign them to a show from the show's Costumes, Props, Sets or Tech tab whenever you're ready.

Photos aren't part of the import — add them to items after they're created.
