Item Status (where a piece is in its life)
Status is a separate field from Ownership: ownership says whose the item is, status says where it is right now. Set it when adding or editing an item, and filter the inventory list by it.
- Need to Source: the production needs this and nobody has it yet — buy, borrow or rent it. Use this as your shopping list: filter by it to see everything still to find
- Need to Build: it does not exist yet and the shop is making it. The build list, separate from the buy list, so a props master can see the two jobs apart
- Available: in stock and ready to use
- Checked Out: somebody on the production has it — an actor, a department, a rehearsal room
- Rented Out: lent to another company through the marketplace or a private arrangement, and due back
- Maintenance: being repaired, cleaned or altered, and not available until it is back
- Lost: missing or destroyed. Kept rather than deleted, so the record of what the production had survives — and so a replacement can be marked Need to Source beside it
Status travels with the item, not with a show, so a costume marked Maintenance reads the same to every production it is assigned to.
