Production management software for youth theatre and summer programs

A youth production has two casts: the children on stage and the parents who drive them, sew for them and run the lobby. Most software is built for neither. CueCall collects what a youth program needs at audition, keeps children off the account system entirely, and gives parents a read-only page for their own child and signup sheets for everything else.

What a youth program uses it for

  • Audition sign-up pages that collect a date of birth and parent or guardian details, with a photo release or waiver for acknowledgement, and parents able to register their students.
  • Performers under 13 never need an account: their invitations go to a parent or guardian, who holds the login, and a confirmed guardian link lets that parent see their child's notes, measurements and calls.
  • Cast pages: a read-only link per performer — character, scenes, their own calls highlighted, announcements, costume pieces — sent to the guardian, with nothing collected from the child and no analytics on the page.
  • Volunteer and item signup sheets for parents: shifts with capacity, snacks and set-build days, with reminders sent automatically and no account needed.
  • Measurement requests parents answer by emailed link, landing on the child's record and visible only to the roles entitled to see them.
  • Announcements to the whole production, by email and on every member's dashboard.

Personal data

Contact details, emergency contacts, documents and measurements are visible only to leadership roles, never to other cast members or their families. A production can switch off any feature it does not use, so a children's summer program carries no budget or marketplace in its menu.

Pricing

  • The first two shows are free for a full year each, with every feature and unlimited users.
  • Additional shows are $14.99 per year each.
  • Unlimited shows: $49 per year.
  • Pricing is per show, not per user — adding your entire cast, crew and creative team costs nothing extra.
  • School district pricing with student login: $299 per year with five classrooms included, then $70 per classroom. This is the plan for schools that need district single sign-on and a signed data processing agreement. A classroom is a class or group of up to 35 students, with unlimited shows, and orders are paid by purchase order and invoice.
  • After a show's year ends there is a 7-day grace period, then the show becomes read-only. Data is never deleted.

Features to start with

  • Auditions & Casting — A public audition signup link, registrant materials and media, audition sessions, callbacks, and cast offers with acceptances tracked.
  • Signup Sheets — Public signup sheets for volunteers, concessions, food and set-build calls, shared by link with no account needed.
  • Collaborators & Role-Based Access — Invite the production team and each role sees a view of the same data suited to their job, with contact details, budget and measurements gated separately.
  • People Roster & Profiles — Cast and crew records with headshots, documents, contact details and show assignments, including merging duplicates.
  • Costume Measurements — Measurements kept on each person's record, visible only to the people whose role grants it — everyone always sees their own.
  • Announcements — Announcements sent to the production team, in the app and by email, targeted at the people who need them.
